We are seeking a detail oriented and proactive full-time Administrative Assistant to join our team in Coraopolis, PA. This role is essential to supporting our billing and administrative operations, with a strong focus on invoicing, payment tracking, and client communication. The ideal candidate will have experience with QuickBooks, excellent organizational skills, and the ability to manage multiple tasks in a fast paced environment. Previous experience in the trucking industry is a plus.

RESPONSIBILITIES:

• Create and process invoices using QuickBooks
• Ensure accurate and timely billing
• Track payments and follow up on outstanding balances
• Open new jobs and calculating rates
• Research and resolve billing disputes with customers
• Payment follow up and collections
• Communicate effectively with clients and internal teams
• Maintain and file records
• Assist with other administrative duties as needed

REQUIREMENTS:

• Strong organizational skills with high attention to detail
• Excellent verbal and written communication skills
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
• Experience with QuickBooks or similar accounting software
• Basic understanding of accounting principles, especially accounts receivable
• Ability to manage multiple tasks efficiently
