Executive Assistant & Office Manager to be a critical partner to our leadership team.
This role is not a typical EA position, you’ll be deeply embedded in our business, working closely with our Co-Founders and COO, ensuring they are operating at peak efficiency. You’ll also own office operations in our San Francisco headquarters and serve as a cultural ambassador for our team.

What You’ll Do Executive & Administrative Support - Manage complex calendars and scheduling across multiple executives, balancing priorities across investors, customers, and internal stakeholders.
- Prepare leadership for meetings with agendas, briefing materials, and research.
- Handle domestic and international travel logistics, including flights, accommodations, and itineraries.
- Manage expense reports, budgets, and financial documentation with accuracy and discretion.
- Anticipate needs, solve problems before they arise, and keep executives focused on the highest-priority initiatives.
Meeting & Communication Coordination - Organize executive and board meetings, including agenda creation, logistics, note-taking, and follow-up.
- Coordinate high-stakes events, conferences, and offsites, ensuring every detail is flawless.
- Act as a professional, diplomatic point of contact between executives and internal/external partners.
- Handle sensitive and confidential information with the utmost discretion.
Office & Operations Management - Serve as primary liaison with building management and vendors for our office.
- Ensure the office is running smoothly, stocked, and set up for a productive and welcoming environment.
- Oversee IT, AV, and hybrid meeting setup to ensure seamless operations.
- Greet and host guests, customers, and candidates, representing Stack AI’s brand and culture when onsite
Culture & Team Experience - Partner with leadership to plan company-wide events, all-hands, and team offsites.
- Serve as a culture carrier, promoting a positive, collaborative, and high-performance environment.
- Support recruiting and onboarding efforts as needed.
Special Projects - Own and drive cross-functional projects that directly support executive priorities.
- Provide analytical, research, or operational support to accelerate decision-making.
- Act as a thought partner to leadership by spotting gaps, suggesting improvements, and executing initiatives.
Who You Are - Experienced: 5+ years in an Executive Assistant or strategic operations role at a fast-paced startup (Series A/B+ preferred).
- Proactive & Strategic: Anticipates needs, solves problems independently, and connects day-to-day actions to long-term goals.
- Organized & Detail-Oriented: Thrives on bringing structure to chaos, balancing multiple priorities without dropping the ball.
- High EQ Communicator: Strong interpersonal and written communication skills; able to build trust and influence at all levels.
- Adaptable & Responsive: Comfortable with shifting priorities and available to flex after hours when business needs arise.
- Tech-Savvy: Highly proficient with Google Workspace, Slack, spreadsheets, project management tools, and modern workplace software.
- Culture Builder: Values integrity, discretion, and teamwork; excited to help shape and represent the culture of Stack AI.
Role Details - Location: Hybrid. In-person at our San Francisco office (next to Salesforce Park) 2 days per week, with flexibility for additional days during events, customer visits, or high-priority projects.
- Hours: Core business hours are 9am–6pm PT, with occasional flexibility required for executive travel, customer meetings, or urgent priorities.
Compensation Range: $90K - $140K
