Job Description

The Executive Assistant (Floater) is a vital member of the administrative team, providing high-level, flexible support to senior leadership across various Funds and Departments. This dynamic role requires a polished executive presence, discretion, and the ability to adapt quickly to different teams and environments. Supporting both New York-based executives and colleagues across multiple office locations, the Floater EA must seamlessly transition between teams, ensuring a high standard of professionalism, confidentiality, and responsiveness in a fast-paced, high-pressure setting. Key Responsibilities: Manage domestic and international travel logistics via AmexGBT and Concur, including flights, visas, accommodations, and ground transportation. Prepare comprehensive travel itineraries and ensure seamless execution of travel plans. Process expense reports and reimbursements promptly and accurately. Document & Presentation Preparation Create and format professional-grade presentations for conferences and internal events using Microsoft PowerPoint and Word. Assist in the preparation of reports, memos, and other business documents. Maintain organized digital and physical filing systems. Administrative & Event Support Handle a high volume of calls and communications with discretion and professionalism. Provide general administrative support, including filing, copying, and correspondence handling. Assist in planning and executing executive-level meetings and special events. Anticipate team needs and proactively manage administrative priorities. Maintain confidentiality and handle sensitive information with utmost care. Take on additional duties and special projects as needed. Qualifications: Bachelor’s degree preferred. Professional Experience 5–7 years of experience in an executive assistant or similar administrative support role. Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) is essential. Key Competencies: Strong executive presence with excellent interpersonal and communication skills. Highly organized, detail-oriented, and proactive with exceptional follow-through. Skilled in managing shifting priorities and urgent deadlines in a high-pressure environment. Able to work independently with minimal supervision. Demonstrates professionalism, discretion, and a positive, collaborative attitude. Willingness to work onsite in the New York office 4–5 days per week.
