You will be a partner on a very dynamic team of passionate professionals. We are seeking an experienced and detail-oriented Logistics Administrator to join our team. The ideal candidate will have a proven background in logistics, a passion for supply chain management, and the ability to effectively manage complex processes. This role is critical to ensure accurate inventory management, timely deliveries, and exceptional service for our customers. The candidate will report directly to the Director of Purchasing and must reside in the New York Metro region. Responsibilities: Manage and process incoming orders, ensuring accuracy and timely execution. Collaborate with carriers, shipping service lines (SSLs), and customers to provide accurate information on shipment details, including location updates, points of contact, confirmed rates, tracking, estimated arrival times, and potential delays. Submit and confirm purchase order details with suppliers, including pricing, quantity, vintage, pallet configuration, carrier, and ready dates, while noting any production or shipping delays. Provide critical shipping documents, including packing slips, terminal arrival notices, and pick-up numbers, to carriers as needed. Submit accurate customs entry documentation (e.g., supplier invoices, labels, CBMA letters) to customs brokers to ensure smooth delivery order issuance. Liaise with trucking companies, warehouses, suppliers, freight forwarders, brokers, accounts payable teams, and other entities to maintain accurate inventory, orders, shipping records, and invoices. Proactively manage inventory to reduce lead times, avoid stockouts, and ensure product availability when needed. Manage product allocations as needed. Perform additional related duties as assigned. Required Skills/Abilities: Exceptional verbal and written communication skills. Strong organizational skills and attention to detail. Proficiency with logistics software, ERP systems, and Microsoft Office Suite. Working knowledge of import/export regulations and procedures (highly preferred).
