We are searching for the best talent for  2 x Operations Specialist, Patient & Site Engagement (PSE) located in Europe, or East Coast US (Remote)  to serve as the primary contact for trial teams, responsible for managing, executing, and delivering patient and site-facing initiatives in support of clinical trials. This role will be primarily focused on supporting quality engagement with industry opinion leaders and key site personnel (e.g., investigators) through the effective coordination of engagement meetings at major Oncology congresses. This role works with key people within the Global Development Organization (GD), including Program Delivery Leaders (PDLs), Strategic Account Leads (SALs), Trial Delivery Leaders (TDL), Clinical Trial Managers (CTM), Local Trial Managers (LTM), and Site Managers (SM), as well as external suppliers and other relevant stakeholders. As needed, this position may also support other administrative responsibilities across the Patient & Site Engagement team and the Oncology Delivery Unit.

Key Responsibilities:

  • Ensure high quality of Oncology site engagement meetings by coordinating conference logistics, ensuring strategic agendas, tracking participants, managing invites, following up on non-attendance, and providing real-time updates
  • Utilize advanced project management skills and tools to oversee multiple meetings for multiple conferences simultaneously, ensuring all timelines, deliverables, and milestones are consistently met
  • Maintain clear communication, regular contact, and good relationships with both internal and external senior leaders to ensure defined expectations and timelines, regular, proactive updates, and timely and effective responses to inquiries
  • Exercise independent discretion and judgment to solve complex problems regarding project, department or division-related work
  • Adhere to Johnson & Johnson SOPs, WIs, policies, local regulatory requirements, and other organizational, regulatory or industry requirements and maintain compliance with relevant time reporting systems and training requirements.

Additional Responsibilities may Include:

  • Drive the execution of patient recruitment & retention tactics and initiatives through the management of service providers, including creative content development, global translations, material production, and the technical development of apps and websites to enhance patient/caregiver and site engagement.
  • Process relevant updates to the program- and trial-level PSE strategy, including the study overview and patient-facing materials
  • Maintain a comprehensive library of tools and tactics in the virtual Trial Master File (vTMF), ensuring effective documentation of business processes and quality standards for tactic development.
  • Maintain project plan updated regarding timelines and budgets, aligned with the SOW for the delivery of tools and tactics for clinical trials.
  • Support the PSE Manager in vendor activities such as budget tracking, filing, training, eMarketplace requests, and issue logging
  • Foster employee engagement, inclusion, and J&J Credo Behaviors.

Internal: PSE Head, PSE Manager, PSE Team Lead, Program Delivery Lead, Trial Delivery Lead, Global Trial Manager, Global Clinical Trial Assistant, Study Responsible Physician, Study Responsible Clinician, Strategic Account Lead

External: Vendors in the hospitality, meeting planning and clinical trial recruitment/retention industries.

Qualifications / Requirements:

  • Education:   BA/BS or equivalent, preferably in a scientific or health-related discipline.
  • Experience:   Minimum of 2 years of relevant experience in global patient recruitment and clinical trial execution with a pharmaceutical company, CRO, or healthcare facility/research site.
  • Excellent time management, prioritization, and self-management skills, with strong project management capabilities
  • Strong planning, tracking, customer focus, organization, and detail-oriented skills, capable of managing multiple projects successfully
  • The ability to multi-task and work under minimal supervision, in a dynamic, fast-paced, environment
  • General systems proficiency, especially in Microsoft Office ((Word, Excel, PowerPoint, Outlook) and systems learning agility
  • Experience managing multiple, concurrent complex calendars via Outlook.
  • Experience scheduling meetings and coordinating off-site meetings.
  • Experience handling sensitive and confidential information and documents.
  • Ability to manage conflicting priorities and flexibly take on additional work as needed
  • Excellent verbal and written communication and interpersonal skills.
  • Strong sense of urgency, while maintaining a high degree of professionalism.
  • Strong organizational skills along with excellent judgment and reasoning abilities.
  • Ability to work and partner with all levels from Senior Management down through the organization.

Preferred Knowledge, Skills and Abilities:

  • Experience with Ariba, Aravo or a related accounts payable system is preferred.
  • Experience with Concur or a related travel and expense reporting system is preferred.
  • Familiarity with Global Connect/Telepresence technical solutions.

Benefits (US Applicants):

The anticipated base pay range for this position is $105,000 to $169,050. The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/performance year. Bonuses are awarded at the Company’s discretion on an individual basis.

  • Employees and/or eligible dependents may be eligible to participate in the following Company sponsored employee benefit programs: medical, dental, vision, life insurance, short- and long-term disability, business accident insurance, and group legal insurance.
