Job Description
Our client is seeking a Talent Acquisition Coordinator to join their fast-paced, high-impact Talent Acquisition team. This is a hybrid role based in either Burbank, CA or Celebration, FL, with a schedule designed to balance in-office collaboration and remote flexibility:
- Location Options:
- Burbank, CA: In-office MonThurs, Remote Friday
- Celebration, FL: In-office MonTues, Remote WedFri
- Pay Rate:
- FL: $27/hr
- Hours: Full-time, 8:00am 5:00pm (varies slightly by location
Responsibilities:- Managing a high volume of interview scheduling (3570/week), including panel interviews and candidate travel logistics
- Coordinating across recruiters, hiring managers, and interview teams to align calendars
- Booking conference rooms and sending detailed confirmations to candidates
- Supporting the onboarding process, including scheduling orientation, background checks, and fingerprinting (for FL candidates)
- Updating and maintaining job postings in Workday, our Applicant Tracking System (ATS)
- Serving as a go-to point of contact for candidates, ensuring a professional, welcoming experience throughout the process
Required Qualifications:
- Has 23 years of experience in recruiting coordination or fast-paced administrative support
- Is a master scheduler with proven ability to manage complex calendars using Outlook
- Delivers top-tier customer service and takes pride in supporting both candidates and internal teams
- Possesses strong attention to detail and can spot inconsistencies or issues before they escalate
- Thinks on their feet and offers creative solutions to scheduling conflicts
- Communicates clearly and professionally, both verbally and in writing
- Is proficient in Microsoft Office Suite and ideally has experience with Workday or similar ATS/HRIS systems
- Maintains discretion with confidential information and works independently with minimal supervision
